TERMS OF SERVICE / PRACTICE POLICIES

This document outlines the practical aspects of working together through Emberglow Therapy (“I”, “we”, “us”, “this practice”). It is meant to provide clarity around scheduling, communication, and expectations so that our work can feel steady, respectful, and well-supported.

Session Fees

Fees may be adjusted over time. You will be given 30 days advance notice, in writing, of any changes.

Payment

  • Payment (in full) is due at the time of your session unless otherwise arranged

  • Payments can be made either via credit card or e-transfer

  • A valid credit card must be kept on file through your client portal in Owl Practice

  • Receipts will be provided where applicable

Cancellation & Rescheduling

A minimum of 24 hours’ notice is required to cancel or reschedule your appointment.

  • Late cancellations (less than 24 hours) and missed sessions will be charged the full session fee

  • Exceptions may be made in cases of emergency or illness at clinical discretion

Scheduling

Sessions are scheduled in advance through Jane App.

You are responsible for:

  • attending sessions on time

  • keeping track of your appointments

If you are late, the session will still end at the scheduled time.

Communication Between Sessions

  • Email may be used for scheduling or brief administrative communication

  • I do not provide therapy via email, text, or messaging

  • Responses to email are typically provided within 1–3 business days

If you need more support, we can schedule a session.

Virtual Sessions

Sessions are conducted online.

You are responsible for:

  • being in a private, quiet space

  • ensuring a stable internet connection where possible; no public wifi

  • arriving prepared and present for your session

Emergency Support

Neither this practice, it’s owner, nor any staff or clinicians provide crisis or emergency services.

If you are in immediate distress or danger, please contact:

  • 9-1-1 or your local emergency department

  • a local crisis line like 9-8-8

Jurisdiction of Services

Services are provided to clients located in Ontario, British Columbia, and other Canadian provinces & territories where permitted.

You are responsible for ensuring you are physically located in a jurisdiction where services can be provided at the time of each session.

Social Media & Boundaries

To protect your privacy and maintain professional boundaries:

  • I do not accept friend or follow requests from clients on personal social media accounts

  • I do not engage in public interactions with clients online

  • If we run into one another in public, I will act as though we have never met, unless you approach or acknowledge me first

  • If you choose to follow a professional account, please be aware this is not a substitute for therapy

Third-Party Involvement / Legal Requests

This practice does not typically provide:

  • court reports

  • custody evaluations

  • legal testimony

If involvement in legal proceedings is required:

  • full hourly fees for preparation, documentation, and attendance will apply

  • participation may be declined where appropriate

Ending Services

You may end therapy at any time.

If possible, a final session is encouraged to:

  • reflect on your progress

  • support a thoughtful transition

Agreement

By engaging in services, you acknowledge that you have read and understood these policies and agree to them.
